Setting Up Your Business IT Infrastructure

Whether you're starting a new business or overhauling an ageing setup, getting your IT infrastructure right from the start saves years of frustration and cost. This guide walks through the core building blocks in the order we recommend tackling them.

1. Start with Your Internet and Network

Everything depends on reliable connectivity. Choose a business-grade internet connection with appropriate speed for your team size, and invest in a proper business router and firewall rather than the ISP-supplied box. Separate your guest Wi-Fi from your business network, and use strong, unique passwords on all network equipment.

2. Choose Your Productivity Platform

For most small businesses the choice is Microsoft 365 or Google Workspace. Both provide email on your own domain, file storage, shared calendars and collaboration tools. Pick one ecosystem and commit to it — mixing both creates cost and confusion. Set up email authentication (SPF, DKIM, DMARC) from day one.

3. Standardise Your Devices

A consistent fleet of devices is dramatically easier to secure and support than a mix of personal machines. Buy business-grade laptops (not consumer models), enable disk encryption, and enrol devices in a management platform so you can enforce updates and remotely wipe lost machines.

4. Build Security in from the Start

• Multi-factor authentication on every account, starting with email and admin accounts
• A password manager for the whole team
• Automatic updates on all devices and software
• Endpoint protection on every machine
• Least-privilege access — nobody gets admin rights they don't need

5. Set Up Proper Backups

Cloud platforms protect against hardware failure, but not against accidental deletion, ransomware or account compromise. Add a dedicated backup of your Microsoft 365 or Google Workspace data, follow the 3-2-1 rule, and test your restores.

6. Document Everything

Keep a simple record of your domains, DNS settings, licences, hardware, network configuration and key suppliers. When something breaks — or when you bring in outside help — good documentation turns a day of detective work into a ten-minute fix.

7. Plan for Growth

Choose systems that scale by adding licences, not by replacing platforms. Review your infrastructure annually: what's near capacity, what's out of support, and what no longer fits how the business works.
